Celebrate Roadrunner Days Aug. 18-24

UTSA faculty and staff are encouraged to participate in Roadrunner Days events Aug. 18-24, particularly the Fall Convocation (Monday, Aug. 21), and the Roadrunner Spirit Rally Lunch and the President's Bar-B-Q (Wednesday, Aug. 23). These official UTSA events are a great way to kick off UTSA's 37th year and to welcome new and returning students.

  • The Fall Convocation is 10-11:30 a.m., Monday, Aug. 21 in the Convocation Center, 1604 Campus. Wear academic regalia and march in the procession -- or wear UTSA colors and sit with the students majoring in your college. The convocation promotes academic traditions, accomplishments, UTSA pride and the UTSA community. Department supervisors are encouraged to allow as many staff as possible to participate; however, all departments must maintain adequate staffing to conduct business from 8 a.m. to 5 p.m.
  • The Roadrunner Spirit Rally Lunch is 11 a.m.-12:30 p.m., Wednesday, Aug. 23, at Sombrilla Plaza, 1604 Campus, and 12:30-2 p.m. at Bill Miller Plaza, Downtown Campus. Stop by for free food served by university administrators.
  • The President's Bar-B-Q is 5-7 p.m. Wednesday, Aug. 23, at the Main Building Plaza, 1604 Campus. Drop by on your way home for free barbecue, games, door prizes, favors and the Iron Horse Band. Bring your family and colleagues, and take time to meet new students at this fun, back-to-school get-together.

Funds can be encumbered until Aug. 28

The last day to use a Procard for purchases using funds from fiscal year 2005-2006 was Aug. 18. To encumber funds, consider a purchase order that can be created until Aug. 28; these purchase orders require final approval by 5 p.m., Aug. 29.

OIT seeks input via online survey

The Office of Information Technology is planning improvements for the university's Exchange e-mail system and would like the input of faculty and staff. To provide your input, take a few minutes to complete an OIT online survey.

Inventory contact required for each department

It is time to appoint an inventory contact person (ICP) for each department/unit code in preparation for the annual physical inventory (API) for fiscal year 2006-2007. The API begins in November. An ICP must be selected in each department to be responsible for scanning all department equipment. All ICPs must attend assigned training sessions.

Payroll adds not permitted after Sept. 1

The fiscal year ends Sept. 1. There will be no exceptions to the voucher cut-off for the final semi-monthly payroll of the fiscal year, and no payroll adds will be permitted after Sept. 1. Late payrolls will be paid from 2006-2007 funds.

Materials management department changes name

Effective Sept. 1, the Department of Materials Management will be renamed Purchasing and Distribution Services. The new name was chosen to more accurately reflect the diverse services the department provides to UTSA.
