Provost hosts June 25 farewell reception for John McGowan and James McDonald

UTSA Provost John Frederick invites the UTSA community to a farewell reception for John McGowan, vice provost for information technology, and James McDonald, associate vice provost for academic and faculty support, from 2 to 4 p.m., Wednesday, June 25 in the Main Building Regents' Room (3.106), 1604 Campus. McGowan will go to the University of Alabama to serve as vice provost and chief information officer. McDonald will go to Southern Utah University to serve as dean of the College of Human and Social Sciences.

 

Maintenance work brings June 19 steam outage

In the energy plant, Biosciences Building and Biotechnology, Sciences and Engineering Building on the 1604 Campus, steam will be turned off from 5 a.m. to 7 p.m., Thursday, June 19 to perform maintenance and repairs on the steam system. The outage will affect autoclaves and building humidity levels, causing indoor temperatures to feel cooler than normal.

Parking lot 3 repairs to affect entrance, bus stop

Because of pavement repairs in parking lot 3 (north of the Business Building, 1604 Campus), the lot entrance from Margaret Tobin Avenue will be closed Tuesday, June 17 until repairs are completed. A temporary entrance will be opened from John Peace Boulevard, where the exit lanes will be changed to allow for two-way traffic. The VIA bus stop in parking lot 3 will be moved to a temporary location on Margaret Tobin Avenue (north side of lot 3) until repair completion.

OIT issues warning on fake UTSA e-mails

The UTSA Office of Information Technology (OIT) has issued a warning on spoof e-mail messages that say they come from "UTSA Maintenance," which is not a valid e-mail address or UTSA department. The spoof message claims that personal information is needed in order to "help fight against spam mails." The e-mail also has many misspellings. The message requests a user's password, secret question and date of birth, among other items. OIT will never ask for this information via e-mail or phone.

Register for new records retention training class

Beginning in July, the University Records Retention Center will offer a new training class on reading the schedule and preparing records for retention or destruction. Register for the class at the TXClass Web site. Records management is the systematic control of records, regardless of media format, from creation to final disposition. It helps to keep records organized, provides more office space, and makes management and retrieval of official records more efficient.

The UT System and the Texas State Library and Archives Commission recently approved the revised UTSA records retention schedule, which is available at the Department of Purchasing and Distribution Services (PDS) Web site and in chapter 9 of the UTSA Handbook of Operating Procedures. One year ago, PDS requested recommendations for improving management of the university records; based on this input, the revised schedule was developed.

 

HOP resident tuition policy updated

UTSA Handbook of Operating Procedures (HOP) policy 5.5, "Certification of Employment for Resident Tuition," has been updated. Major changes were made to the policy because of clarifications to the process for approval for those seeking a waiver of non-resident tuition at UTSA. Periodic updates to the HOP will be announced in @UTSA.

Golf tournament benefits ELPS scholarships June 20

The Department of Educational Leadership and Policy Studies (ELPS) will host the sixth annual ELPS Scholarship Golf Tournament with a shotgun tee-off at 8 a.m., Friday, June 20 at the Canyon Springs Golf Club. The tournament is open to the public with proceeds benefiting the ELPS Scholarship Fund. Each player will receive breakfast, lunch, golf shirt, "goodie" bag and a surprise gift with opportunities to win prizes. Register as soon as possible to ensure receiving a golf shirt on tournament day.

Reminder: Fiscal year-end purchasing dates

The purchasing office revised year-end purchasing dates to allow sufficient time to make important last-minute purchases. There will be additional reminders concerning the end-of-year PBO (small-dollar purchase order) process. The important dates are:

  • Aug. 13: Last day to create a PBO using fiscal year 2007-2008 funds
  • Aug. 15: Last day for final approval of a PBO using fiscal year 2007-2008 funds
  • The deadline for ProCard use for the fiscal year will be in August; a date is to be announced.
