Fiscal year-end purchasing dates announcedDepartments can begin the submission process to establish new contracts or extend current equipment maintenance, software licenses/maintenance and other service contracts for fiscal year 2010. Multi-year contracts must be renewed annually. If departments have current multi-year service contracts, a new PB4 or PB7 request must be created this fiscal year to ensure a contract is in effect Sept. 1, 2009. Submit requests as soon as possible to ensure sufficient time for the procurement process. Many copier leases are obtained through the state's automated state contracts and require a PB7. The UTSA Office of Purchasing and Distribution Services does not review purchase requests before submission to the state; PB7 documents are routed directly to the state system for processing upon departmental approval. Review submitted information for accuracy and include the appropriate clauses for purchases; clauses should contain information such as serial numbers, previous year's purchase order number, quantity, service dates and delivery codes. For year-end dates, deadlines and other information, visit the UTSA Purchasing Web site. Select the "Announcements" section. For assistance with submission of year-end orders, contact your purchasing buyer. More information: Purchasing, 458-4060
