Cash Handling 101

Cash Handling 101 is intended to help UTSA employees learn the policies and guidelines for handling cash, credit cards and reimbursements.
After completing this class, you will be able to:
  • Explain credit card processes to include departmental deposits of credit card payments
  • Identify and Implement Payment Card Industry Data Security Standards (PCI DSS)
  • Identify and properly complete all cash handling and petty cash forms
  • Learn how to establish and replenish a petty cash fund using petty cash reimbursements
  • Review all cash handling and petty cash forms needed and required when accepting cash
  • Review policies and procedures for petty cash reimbursements for department without a petty cash fund for certain eligible purchases
  • Review policies and procedures regarding cash handling
  • Review policies and procedures regarding petty cash funds
Any faculty, staff, student, or volunteer who accept cash payments or would like to accept cash payments on behalf of the university.
Inventory Initial Training

As the Inventory Contact Person (ICP) for your department, you will attend this mandatory session and learn guidelines and policies for conducting a physical inventory of your department’s assets. You also will learn to use a bar code scanner and be able to check the scanner out at the end of the session.
After completing this class, you will be able to:
  • Demonstrate knowledge of the annual physical inventory process and what is required for completion
  • Identify and know when to use Inventory forms
  • Learn how to use the barcode scanner
  • Understand your role and responsibilities as the designated inventory contact person

Inventory Refresher

This is a refresher course for those who have taken the initial inventory training class. Refresh your knowledge of the current guidelines and policies for taking inventory. This training is required and must be completed before you can check out a bar code scanner for this year's inventory.
After completing this online class, you will be able to:
  • Apply steps in annual physical inventory process
  • Distinguish between the roles and responsibilities of property custodians and inventory contact people (ICP)
  • Identify new policies and procedures for the current fiscal year
  • Locate and utilize inventory forms
