What is happening with HRMS?
As the November 3, 2008 release date for HRMS approaches, representatives across campus will soon begin testing the system.
Testing will begin in August and last through early-September. During that time, representatives from all UT components will perform test scenarios in HRMS based on the business processes most familiar to them. As each area UT components conducts business differently, the testing completed by these individuals will help ensure that HRMS is fully functional for all users.
Testers will be nominated from representatives who are working with the HRMS project team. If you are nominated as a tester, you will receive more notification about your role.
Other Frequently Asked Questions
Will HRMS be based on the department system?
No. HRMS will be based on the unit code hierarchy that is used in *DEFINE today. This is a change from previous stages of the project (when it was referred to as Position Management).
Will appointments still be created and maintained in *DEFINE?
Yes, but only for Phase One of the project. In most cases, employees who work with appointments today will still need to use *DEFINE for appointment processes after HRMS is implemented. Appointment data will be tied to positions in HRMS with a Position ID number.
In the fall of 2009, when the second phase of HRMS is implemented, appointment information will no longer be processed through *DEFINE but will be controlled and viewed in HRMS.
What will happen to the Streamlined Applicant Referral System (STARS) ?
We will continue to use STARS pretty much as we do today. There may be some process changes associated with adding a new hire to a position in HRMS and in processing requests for job audits and position reclassifications. As we gain more information on the details of HRMS, we will be able to determine, if applicable, the specific changes but again, for the most part it will function as it does today.
When will HRMS training happen?
UTSA's current strategy is that three levels of training will be delivered.The first level will be delivered to those who will participate in the testing phase and it will be conducted in early August. Level II will be conducted in September and Level III in October. Level II will 'target the ASO level folks and 'power' DEFINE users, who can then assist in the implementation of HRMS in their respective departments. Level III will cover all the remaining users who work with appointment type processes. All employees who use, touch or otherwise are involved with DEFINE and the appointment process will have an opportunity for training.
