Amending The HOP
- When there is a need to amend an existing UTSA Handbook of Operating Procedures (HOP) policy, the vice president who presides over the department should be apprised of the proposal to update the policy.
- There may also be a University committee drafting a new policy or recommending changes to an existing policy.
- The department or committee representative then should contact the Office of Legal Affairs (Vivian Coleman) by e-mail or telephone to request a copy of the Word document of the policy that is to be amended. This will provide the department or committee the opportunity to enter changes in the existing document using the Track Changes feature. When this is completed the document should be electronically returned to Legal Affairs.
- If the policy is new, the committee or department representative should electronically forward the final draft to Legal Affairs. Legal Affairs will staff the draft policy (new or revised) to the vice presidents and the president for their final review.
- Depending on the changes (whether substantive or of a minor nature), the policy may then be forwarded to the UT System Office of General Counsel for its review and approval. At that time we will update the HOP on the Web and notify the UTSA community through the @UTSA e-newsletter.
