Facility Reservation Procedure
Request for Campus Recreation spaces may be made by UTSA Departments, Registered Student or Faculty/Staff Organizations and Joint Sponsored groups.
To request events on the Main Campus, registered student organizations must have completed all requirements listed on the Students page of the UTSA Events Management and Conference Services (EMCS) website.
Campus Recreation will only process space requests for Recreation/Wellness type events. Please contact UTSA EMCS at (210) 458-4155 to search space accommodations if your event is not Recreation/Wellness related.
Meeting spaces are only available for Special Event Use. Campus Recreation will not accommodate requests for Rec Center facility space to hold staff or student meetings. Please contact UTSA EMCS to search for other meeting accommodation options.
Campus Recreation Dance/Movement Studio requests are limited to duration of one day a week for up to a two hour block. Evening or weekend request are preferable. No sound or exercise equipment resources are available.
Group climbs options are Thursdays 10:00pm - 12:00am, Fridays 7:00pm - 9:00pm & Saturdays 1:00pm - 4:00pm. The climbing area is limited to 15 participants at a time. Larger groups should call to discuss additional facility reservation arrangements to accommodate overflow.
Any event that occurs outside of regular facility operation hours will be subject to rental and resource fees. Information on Campus Recreation facility, equipment, and staffing fees is listed in the Campus Recreation Facility and Resource Fees section above.
Any event in which Admission (enrollment fees, registration fees, admission fees, monetary donation, etc.) is collected will be subject to rental and resource fees.

Submit your request by completing the online request form located on the UTSA Calendar webpage website. Please review the information listed on the request form before submitting your request.
Please allow 5-7 business days for your request to be processed.
Once your event has been processed, you will receive a confirmation notice with a reference number from the Campus Recreation Assistant Director of Operations. Your event(s) or reservation is not confirmed until you receive this notice.
All applicable fees must be paid to the UTSA Campus Recreation or payment arrangements must be confirmed prior to the event.
