Roadmap

UTSA CRM will be an ongoing strategy. Phase 1 will focus on BANNER integration, recruitment, case management and student communications. Once the initial phase is complete, future phases will be planned to extend the CRM system to support initiatives, departments and offices that support UTSA constituents. 

Phase 1 (Initial Implementation)

Stage 1

Project Initiation - ensure the project has a clear goal to achieve and re-affirm project timeline; review any previously created documentation

Conduct Executive-level and Stakeholder Requirements Discussion – confirm goals and objectives including definition of success; confirm prioritized general requirements across the enterprise from each impacted group. Groups represented include:

  • Recruiting and Admissions Related:
    • Office of Undergraduate Admissions
    • Office of International Admissions
    • Office of Graduate School - Admissions
    • Office of the Institute for P-20 Initiatives
    • Select college staff related to recruitment and admissions
  • Enrollment
    • Office of One Stop Enrollment Center
    • Office of Financial Aid
    • Office of Registrar
  • Marketing and Communications
    • Office of Enrollment Services Marketing and Communications

Deliverables Development – creation of project deliverables to include:

  • Solution Design Document (SDD)
  • Marketing Cloud Solution Design Document
  • Requirements Traceability Matrix (RTM)
  • Data dictionary and data map
  • Detailed project plan
  • SOW for the build, test, train, and deployment phase of the project

Future Phases

UTSA CRM will be an ongoing strategy, with a connected campus vision. After the initial implementation is complete, future phases will be planned and created to incorporate more areas of campus that can leverage the Salesforce platform.
