Laptops make our jobs easier by allowing us mobility; now we can do our jobs in many different places. Along with this convenience comes responsibility on the part of UTSA employees to secure the portable devices the university entrusts to us, especially those that may contain sensitive data. For this reason, and in accordance with the UTS165 policy, UTSA requires all university owned laptops which contain sensitive information to have encryption software. You can request this encryption software, Safeboot, through the Office of Information Technology.
Here are some tips for securing portable devices:
- PDAs, laptops, and USB drives should be secured in locked rooms, locked drawers and/or with cable locks.
- Use strong passwords access protection.
- Safeguard sensitive information (including legally protected information) by installing encryption software on mobile devices (USB drive, CD, laptop, PDA, etc.). SafeBoot, encryption software, can be installed by UTSA staff. More information is available at http://www.utsa.edu/infotech/Security/safeboot.htm.
- In your vehicle: portable devices, briefcases/bags and other valuables should be removed or placed out of sight.
Another important responsibility regarding portable devices is ensuring you have a current Removal of Equipment form on file with the Inventory Department. A copy of this form must be kept with you whenever your computer is taken off campus. This form must be renewed at the beginning of each fiscal year.
