How can I get Unified Messaging?


We are glad that you are interested in Unified Messaging! At this time, OIT is offering Unified Messaging (UM) on a departmental basis. If you and your coworkers are interested in changing over to UM, please notify your adminis​trative staff and department head/chair. When your department is ready to make the change, please have the head of your department submit a request for UM to OITConnect by email at oitconnect@utsa.edu, by phone at 458-5555, or by accessing our self-service portal at oitconnect.utsa.edu.


What is the cost for me/my department to switch from Cisco Unity voicemail to Unified Messaging?


There is no cost to move from Cisco Unity to Unified Messaging.


What will happen when my department converts to Unified Messaging?


When OIT receives your request to convert the department to Unified Messaging (UM), we will coordinate with your administrative staff to prepare to transition any departmental voicemail boxes that your department maintains. We will also assess how many users in your department currently have voicemail boxes and determine the need to provision Unified Messaging boxes for your department.

When all information has been gathered, we will provide you with a cutover date to Unified Messaging. You will want to ensure that you have addressed all voicemail in your Cisco Unity voicemail boxes before that date. On the day of cutover, you will receive an email from Microsoft informing you that your account has been provisioned and requesting that you set up your PIN for telephone access to UM.


Will I have problems communicating with coworkers who do not have Unified Messaging?


When you change over from the current Cisco Unity voicemail system to Unified Messaging, your new voicemail messages will be stored in your email. This means that you will be able to forward voicemail messages to colleagues in the same way that you currently forward email messages. Colleagues who are still on the Cisco Unity voicemail system will no longer be able to forward voicemail messages to you, as those messages will be stored in a system that is no longer connected to your extension.


How long do I have to access to my Cisco Unity mailbox after cutover?


You will have access to your Cisco Unity mailbox for 90 days from the time of the cutover.  After that, all access and messages will be deleted.


How can I get a copy or save the messages currently in my Cisco Unity mailbox?


One option for saving is using Sound Recorder to record a currently saved voicemail.

Sound Recorder can record sound as a digital media file on your computer from a variety of devices, such as a microphone that is plugged in to your sound card. The types of audio input sources you can record from depend on the audio devices you have, as well as on the input sources that are available on the sound card that is installed on your computer.

  1. Make sure you have an audio input device like a microphone connected to your computer.
  2. Click Start, click All Programs, click Accessories, and then click Sound Recorder.
  3. Click Start Recording.
  4. To stop recording audio, click Stop Recording.
  5. (Optional) If you want to continue recording audio, click Cancel. In the Save As dialog box, click Resume Recording, continue to record sound, and then click Stop Recording.
  6. Click the File name box, type a file name for the recorded sound, and then click Save to save the recorded sound as an audio file.


  • You must have a sound card and speakers installed on your computer to use Sound Recorder. You will also need a microphone to record the sound. OIT does not provide microphones or other audio accessories.
  • By default, the recorded audio is saved as a Windows Media Audio (WMA) file.
  • If you are using Windows Vista Home Basic N or Windows Vista Business N, your Sound Recorder files are saved as .wav files rather than .wma files.
  • You can play your recording in a digital media player program that supports playback of WMA files.
