The Downtown Special Events Office oversees the use of all event facilities and areas (excluding academic space, e.g. classrooms) at the Downtown Campus and assists faculty, staff, registered student organizations (RSO) and external organizations with event planning. While Classroom Scheduling oversees the use of academic space,the Downtown Special Events Office will assist users with their academic room requests.
Downtown Special Events is located on the ground floor of the Durango Building (DB 1.302) and can be reached by calling 210-458-2409 or emailing DTspecevents@utsa.edu.
The Downtown Special Events Office also oversees the UTSA Conference Center. The UTSA Conference Center offers a wide range of services, to include coordination of small events to full-scale conferences. Featuring sleek architectural designs, plush seating arrangements and contemporary event technologies, the Conference Center provides a variety of accessible spaces for board meetings, lectures, workshops, social events, and theater productions.
If you are requesting summer 2018 (June 1 - August 31) academic or non-academic space, please be aware of the following:
Summer Downtown Campus room requests are not processed until April. Once Classroom Scheduling (Office of the Registrar) is finished assigning rooms for summer classes, they open reservations for non-academic groups. Summer requests that include both academic and non-academic space are handled as a single request (only one confirmation number is issued). Once Downtown Special Events receives approval for academic space in April, assignments for non-academic space can be processed.
Due to the high volume of summer academic and non-academic room requests Downtown Special Events highly encourages everyone to submit their summer requests by Thursday, February 8. A Downtown Event Manager will place your request in queue and process it on a first-come-first-serve basis.
