Reservations and RowdyLink Simplified

This year, innovations and improvements have been made to the event planning process on campus. 

The updated process features the use of RowdyLink for more effective, transparent communication between event stakeholders. The update allows event planners to browse and reserve space in a one-stop system where you also provide all your event details to your space scheduler/event manager. The process still allows service providers to give feedback and answer any questions event planners may have. 

The streamlined process will allow for efficiency and safety for our community as the university navigates the return to campus.  

As we pivot to fall semester programming, our hope is that these changes support both in-person and virtual events. I am excited this updated version of the RowdyLink Events Process will allow all of campus partners to collaborate more efficiently. During the Spring 2021 semester, student organizations, departments, and academic units beta-tested the system and provided feedback. “It was simple, straightforward, and easy to use. The actual process of reserving the room was relatively easy to do. I think the ability to provide event details and then reserve a room in the same place is great.”  

Automation of event planning provides benefits to both the event planner and space custodian and streamlines the safe use of facilities in a way that complies with university safety regulations. Detailed instructions for the new process can be found on the UTSA Events website. 

Additionally, UTSA policies concerning major events are listed in the UTSA Handbook of Operating Procedures 9.50: Major Events Hosted by Non-University Users, developed to maintain the safety of the UTSA community and to further its mission of education, research, and public service.
