Training

Training Delivery

In August we will begin to rollout an incremental release of UTShare learning collateral to support our UTSA campus. The learning collateral is intended to be a resource and guide to the PeopleSoft functionality and will be delivered in a variety of formats; on-line, User Productivity Kit (UPK), information sessions, webinars and videos.

In addition, specific training modules are currently being developed to support everyone's transition to the PeopleSoft system and are anticipated to be delivered early next year. With the revised go-live date, employees will have greater opportunity to become familiar with the new software and its functionality.

UTShare Training Course Development

New

  • With the revised deployment plan, we are developing the new Timekeepers for Departments course.
  • A new ESS-online version is in the works, with a collaborated effort front by the UTShare Training Team and Human Resources, Training and Development department.

On-going

We continue with training development efforts focused on:
  • Statement of Accounts course
  • Procard course

Support Services & Helpdesk

The UTShare Support and Sustainment Center is being developed to help faculty and staff with all questions about the PeopleSoft system. Dedicated staff is currently available to answer your questions through SPOC@utsa.edu. Beginning in September, our Helpdesk phone line will be activated to answer on- the-spot questions for our UTSA end-user community.

To further prepare for our support and sustainment center, we are in the process of customizing email templates for a ticketing system, and enhancing and expanding our website, in particular, the training web pages. Our plan is to form a Single Point of Contact (SPOC) for support services to the entire campus.

Human Capital Management - HCM

The HCM team is currently working on:

  • Completing interfaces and reports for items are required to interact with other state agencies such as Teacher Retirement System, Comptroller, Office of Employee Benefits
  • Cleaning up and validating data that will come through conversion such as biographical/demographic data, payroll data, position data, position funding data, and employee assignments
  • Completing regulatory required reports to state and federal agencies
  • Validating PeopleSoft HCM security configuration
  • Development of campus level operational reports is progressing now that many of the mandatory state and federal reports are nearing completion.

The next areas of focus for the HCM team are:

  • Development of interim procedures to support campus operations during the phased go-live period
  • Resumption of integration testing of all PeopleSoft HCM and FMS modules in support of the recently announced phased deployment plan.
  • Continued cleansing of DEFINE/HRMS and FMS data and validation of conversion programming logic

The campus can expect to see the following in the September - November timeframe:

  • Requests to support data clean-up in DEFINE/HRMS as poor quality data is identified
  • Announcements regarding key dates in support of PeopleSoft go-live

Financial Management System - FMS

The FMS team is currently working on:

  • Campus related interface testing between the third party systems such as Banner, TMA, and Voyager
  • Conversion of GL balances and validating of conversion data in IDP Instance
  • Completing of FMS training materials
  • Validating PeopleSoft security roles

Reporting

  • Team working on identifying Campus Operational Reports
  • Testing UTShare reports for FMS

The next areas of focus are the FMS team:

  • Security Role testing
  • Continued Conversion activities
  • Resumption of integration testing of all PeopleSoft HCM and FMS modules in support of the recently announced phased deployment plan.
  • Continued cleansing of DEFINE/HRMS and FMS data and validation of conversion programming logic

The campus can expect to see the following in the September -November timeframe:

  • Information sharing sessions on the PeopleSoft functionality

Technical

Technical/ Interfaces/Approval work around solutions focus for July and August

  • Working on completion (development and system testing) of the local interfaces based on project plan dates  
  • Working on (proof of concept/development) for interim SharePoint approval workaround forms and process in lieu of paper-based signature system

Coming up next, we will begin work on some campus operational reports (PS query capable)
