Avoid long lines: Order parking permits now

UTSA faculty-staff parking permits for the new fiscal year can be ordered now. Orders must be placed online, whether paying by cash, payroll deduction or credit card. Order before July 31 to receive your permit by mail -- and avoid the lines.

Legal affairs office issues HOP policy updates

Updates have been made to the following policies in the UTSA Handbook of Operating Procedures (HOP).

  • Editorial amendments were made to these policies: 2.4 Faculty Recruitment Policy, 9.21 "Records and Information Management and Retention" and 2.26 "Human Research."
  • 8.12 "Information Resources Use and Security Policy" was revised to bring UTSA into compliance with Texas Administrative Code Information Security Standards and to update current practices.
  • 2.19 Retention of Student Records for Final Grades is a new policy that addresses retention of student work that is kept by faculty.
  • Section C was added to this policy: 4.29 "Hours of Work for Staff (Non-Faculty) Employees."

Deadline to order 1604 Campus maps is July 22

Now is the time to place 1604 Campus map orders for the new academic year. The order is set for 29,000 copies with the majority allocated to the Office of Admissions. Maps are 65 cents each with a minimum order of 100. The six-fold brochure measures a compact 3 by 6 1/2 inches folded, 13 by 19 inches unfolded. The deadline for map orders is July 22.

Health Services offers Weigh Down Wednesday

UTSA students, faculty and staff are invited to Weigh Down Wednesday, 10:30 a.m.-1 p.m. each Wednesday through August at Student Health Services, Recreation and Wellness Center Room 1.500, 1604 Campus. It is a great opportunity to check your weight and measurements on a regular basis throughout the summer. Each week brochures, recipes and other handouts will be available on weight loss, fitness, nutrition and other health topics.

July 29 is deadline for FY '04-'05 work requests

July 29 is the last day Facilities Services will accept work requests using fiscal year '04-'05 funds. Work requests cannot be encumbered and must have all required approvals. Only charges for services actually performed, including labor and materials posted to work orders by Aug. 31, will be charged to FY '04-'05 funds. Requests received after July 29 will be evaluated on a case-by-case basis. Facilities Services cannot guarantee a work request will be processed after this deadline.

Sharing computer accounts is prohibited

The UTSA Office of Strategic Planning and Information Security reminds faculty and staff members that it is a violation of university policy to share computer accounts. Recently, several users logged on to UTSA computer systems, such as Banner, and allowed another person to use the account to access confidential information; this action is prohibited. Faculty or staff members who are found to be in violation of this policy may be subject to disciplinary action. OIT warning: Beware of continuing 'spoof' e-mails

The UTSA Office of Information Technology (OIT) has issued a new warning about fake or "spoof" e-mail messages that appear to come from UTSA technology services. The spoof messages, which warn that e-mail accounts are "expiring," come with attachments that contain computer viruses. Please delete these messages and do not click on links in the messages or your computer may become infected.

Mail services issues new form for overnight requests

UTSA Mail Services has created a new form for overnight mail requests. The form can be downloaded from the mailroom folder in Outlook Public Folders. The new form must be used because of a requirement for each department to indicate on the form that all charges will be accepted. There also is a new box for residential addresses and for requiring a signature.

Report maintenance problems to Work Control

Whether you need a thermostat adjusted, a light bulb replaced or a leaky faucet repaired, contact Facilities Services Work Control. Both urgent and minor maintenance problems should be reported. The "trouble call" system ensures that maintenance, custodial, utilities and grounds problems are resolved quickly and efficiently. For tracking purposes, callers may request a trouble call work order number.

Is your department moving? Need boxes?

Do you need boxes for your upcoming department move? E-mail the quantity you need to Work Control and boxes will be delivered. Download the UTSA Facilities Services Work Request form from Outlook Public Folders/UTSA Forms. The form is required for services related to special events, renovations, furniture moving, mini-blinds and transporting items to the warehouse for storage.

Legislature implements status change for return-to-work retirees

The 79th Legislature passed HB 3540, which includes provisions that affect employees who retire and return to work. Specifically, HB 3540 provides a "new employee" benefit status to all return-to-work retirees hired on or after June 1, 2005. The "new employee" status means accrual of longevity pay, vacation leave, benefit replacement pay (BRP) and hazardous-duty pay now is based on the "new" post-retirement hire date. Previously, if an employee returned to employment within one year he or she would accrue vacation time based on previous years of state service and the original employment date, collect longevity pay based on those years of service and still have BRP, the portion of Social Security paid by the state. HB 3540 does not affect current employees who retired before June 1, 2005.

The UTSA Office of Legal Affairs requires that departments sponsoring camps must adhere to and disseminate the information downloadable below. The five documents in Word format provide health information, directions to health care facilities from the 1604 and Downtown campuses, and maps showing health care facilities near the 1604 and Downtown campuses.
