Workshop provides info for year-end closeout

The Office of the Vice President for Business Affairs will host a fiscal year-end workshop on four dates to provide administrative personnel with detailed information and processing dates for the year-end closeout and new fiscal year rollover. At the workshops, Lenora Chapman, assistant vice president for financial affairs controller, will do a year-end overview. Additionally, representatives from accounting, disbursements and travel services, purchasing and distribution services, payroll, human relations and Define services will discuss the year-end procedures pertinent to their areas.

Participants must register for "DE 663 Year End Workshop" through TXClass. The year-end calendar and year-end presentation will be available July 16 on the UTSA Controller Web site.

The workshop will be offered these dates:

  • Wednesday, July 16, 2-4:30 p.m., JPL 4.03.08, 1604 Campus
  • Thursday, July 17, 9-11:30 a.m., JPL 4.03.08, 1604 Campus
  • Tuesday, July 22, 9-11:30 a.m., JPL 4.03.08, 1604 Campus
  • Tuesday, July 23, 2-4:30 p.m., BV 1.318, Downtown Campus

 

Downtown Campus, 1604 Campus: Enrollment benefits fair July 17

Benefits information fairs are set for 9 a.m.-3 p.m., Thursday, July 17 at the University Center Retama Auditorium (2.02.02) and galleria on the 1604 Campus, and Frio Street Building Room 2.534 on the Downtown Campus. A 10 a.m. presentation by a Blue Cross/Blue Shield representative will be simulcast at the Downtown Campus venue.

At the fairs, employees can visit with UTSA benefits staff and representatives from UT System Office of Employee Benefits, Blue Cross/Blue Shield (UT Select), Medco (prescription drugs), Delta Dental, Assurant Dental, Superior Vision, Fort Dearborn (life insurance), The Hartford (short- and long-term disability insurance,) PayFlex (UT Flex) and CNA Long Term Care. Also at the fairs, there will be retirement benefits representatives from AIG, Fidelity, ING, Lincoln, MetLife and TIAA-CREF.

 

Annual benefits enrollment runs July 1-31

Annual enrollment for fiscal year 2009 benefits runs July 1-31. Download a Word document with details on annual enrollment meetings, benefits information fairs and other details. During July, benefits-eligible employees and retirees can make online benefit changes using UT Touch. Changes will be effective Sept. 1, 2008.

Employees must make these elections each year during annual enrollment:

  • UT Flex for medical and dependent day care
  • PayFlex

 

Save on gas with vanpool opportunity

A group of UTSA employees is interested in organizing a vanpool that will start in Bandera with stops at Pipe Creek and Boerne (Interstate 10 and Highway 46 at the park-and-ride lot) with the final destination at the UTSA 1604 Campus. By using the vanpool, commuters can save money on gas and parking permits. The van will be provided and maintained by the City of San Antonio VIA transportation system service at no charge. Vanpoolers will pay for gas and the monthly fee. Read more on the VIA Web site.

If an emergency occurs and a vanpooler must leave work early or work late, the Care Program will provide transportation for an additional cost of $5 per year. The van will stay overnight at the park-and-ride, and several people will have keys and serve as back-up drivers. Participants will meet at the park-and-ride to board the van. Participants will pay the scheduled cost at the beginning of each month plus gas, whether they ride that day or not. Vans seat 7, 12 and 15 passengers. Up to $115 per month can be a pre-tax deduction. Participants also may save on car insurance because of less use of their cars. Staff Council nominations needed by July 17

Nominations are needed to fill positions on the UTSA Staff Council being vacated because of expiring terms. Nomination forms were distributed to administrative-and-professional and classified benefits-eligible employees in the vice president areas with expiring terms. This year an electronic nomination process was implemented and each eligible person should have received an e-mail message from Staff Council with a link to Survey Monkey to make a nomination selection. Nominations must be electronically submitted by Thursday, July 17.

Staff Council plays an important role in the university community, so it is important to fill the vacated spots. Employees are encouraged to self-nominate or nominate others within the appropriate VP areas who they feel would commit to playing an active role in the council and monthly meetings. Once the nomination process is complete, electronic ballots will be distributed to vote for the candidate of choice to represent the VP area within UTSA Staff Council.

Employee Relations extends hours at Downtown Campus

The Office of Human Resources-Employee Relations now has extended hours to better provide services to the Downtown Campus and the Institute of Texan Cultures. As of July 14, Steven Corbell, employee relations adviser, is available to assist employees from 8 a.m. to 5 p.m., Monday-Friday, in Frio Street Building Room 4.548 and at 458-3333.

Alumni Gala is Aug. 16: Enter Power Drawing now

Join UTSA alumni for the UTSA Alumni Gala at 6:15 p.m., Saturday, Aug. 16 at the Westin La Cantera Resort and Hotel -- a glittering night honoring the Alumnus of the Year and Distinguished Service award winners. The Power Drawing is a great way to contribute to the UTSA Alumni Association Scholarship Fund. Purchase one ticket for $20 or 3 for $50 and have a chance to win one of these prizes: vacation for two to St. Maarten, $2,500 Valero pre-paid gas card, four-hour sailing tour of Lake Travis in Austin, trip for two to Breckenridge, Colo., trip for two to Savannah, Ga., or a Samsung 40-inch flat panel HDTV. The prize drawings will be during the gala, but you need not be present to win.

Reminder: Fiscal year-end purchasing dates

The purchasing office revised year-end purchasing dates to allow sufficient time to make important last-minute purchases. There will be additional reminders concerning the end-of-year PBO (small-dollar purchase order) process. The important dates are:

  • Aug. 13: Last day to create a PBO using fiscal year 2008 funds
  • Aug. 15: Last day for final approval of a PBO using fiscal year 2008 funds
  • The deadline for ProCard use for the fiscal year will be in August; a date is to be announced.
