Instructions for processing Benefits Eligible Student Employees
The forms and reading materials apply to NEW, or former UTSA employee returning after a 1-year or more break in service.
A Criminal Background Check (CBC) may be a requirement BEFORE an individual can start work. Go to the UTSA CBC web page for instructions on the CBC process.
Process:
There are a series of forms and reading materials required to validate the hiring process and establish the employee and payroll record for benefits eligible student employees. A separate packet has been created to simplify the completion of these forms.

Returning Employees:
Employees returning after a break in service of LESS THAN ONE YEAR, do not need to complete a new employment packet.
- W4 - Changes to Address for the W4 will require the completion of a new W4 form.
- Emergency Contact or Home Phone Number updates can be made by the employee online at Employee Self-Service.
- Work Authorization Updates require the employee to report to Human Resources with all employment authorization documents for an I-9 re-verification.

Required Reading Documents:
Information designed to familiarize you with selected Federal, State and University rules and regulations. These documents are required reading in conjunction with employment at UTSA.
