Performance Appraisals
With the 2006 Performance Evaluations completed, it's time for managers to document employees' '07 Performance Plans. For a productive and successful '07, managers should formally review performance plans with each employee, and follow up on these plans throughout the year.
For guidance on this process, managers can register for training class SU 302 scheduled on May 9th, 2007.

Training and Development
Administrative Toolbox Series Graduates:
As UTSA grows, Administrative Professionals continue to play an integral role in helping UTSA achieve success. To celebrate national Administrative Professional Week and our Administrative Toolbox Series graduates, we will be offering a "Celebration Tea" on Wednesday, April 25, 2007, from 2p-330p, in UH 1.106. In addition to our Celebration, Ms. Maxine Farrimond will be our special guest speaker!

Supervisory Series Celebration:
Another group of supervisors has completed the 6-week Supervisory Series Course.
Dr. Gage Paine provided the key note speech at the graduation/celebration, March 8th at the Roadrunner Cafe.

The last day, supervisors demonstrate what they've learned by solving problems in this balloon game.

DEFINE
Entering Separations and Terminations
The process associated with entering terminations/separations in DEFINE has changed. Here are the new rules:

When a Non-Student employee separates/retires at THE END OF THEIR EXISTING APPOINTMENT, do not use the AC* document. Instead, use the AUR command and use reason codes of 'R' = Resignation or 'O' = Retirement.

Student employee separates at THE END OF THEIR EXISTING APPOINTMENT, do not use the AC* document. Instead, use the AUR command and use reason code '&' = End Assignment.
|
|
If either category of employee terminates/separates/retires BEFORE the end date of their existing appointment, continue to use the AC* command.
|

HR Forms
Are You Using the Current Version?
We included the following in the last edition of the HR Newsletter and are including it again to re-emphasize the process. We are still getting 'old' versions of forms. The Separation Processing Checklist has undergone a number of changes, the latest one is dated 03/2007, be sure you're using the current version.
By their very nature, the forms used by HR to collect and report information are somewhat volatile and subject to frequent change. When we change forms, we do attempt to announce the changes via email and/or we cover the changes during the HR Forum.
We have noticed that some of the Administrative Assistants employ a practice whereby they create a stockpile of these forms so they don’t have to go to the web each time and print them. While this may be an effective process, it creates problems when the forms are changed. Instead of replenishing the stockpile with the new version, the old forms are continuously used.
Such is the case with the Employee Separation Form and the Separation Processing Checklist. We are receiving many ‘old version’ forms that contain the SSN. We replaced the SSN with EID (not Banner ID) on all applicable forms over a year ago, yet we continue to get the ‘old’ forms with either SSNs or Banner IDs |

Updating Campus Mail Codes
The following article also appeared in the last edition of the HR Newsletter. We haven't noticed much improvement in this area. Departments are still not entering the data outlined below when they enter appointments on new hires. Each week we identify approximately 19 instances where this data is not entered.
In conjunction with entering appointments on new hires, it’s also required that you enter the following data items:
The creator of the DEFINE appointment (typically the department Administrative Associate) is closest to the source of the data and is in the best position to enter it. So when the person inputs the appointment (new or changed) transaction into DEFINE, they must also input the above data via section 4 and 5 on the Employment Information (EI1) screen. The appropriate codes for Campus Mail and Building Numbers are located on the links furnished above.
We monitor this area on a weekly basis (erroneous campus mail codes could impede timely distribution of pay stubs, earning statements, etc.,) and we’re finding pockets of departments that are not entering this data. Contact point is Linda Tidd @ 4259.

HR Staff Changes
Retirement
Maria Ramos, Administrative Associate for Employee Relations, retired on January 31, 2007 after 9 1/2 years at UTSA. A Month and half later, Employee Relations welcomed Maria back! She will be working on a part time basis assisting with the Staff Excellence Awards. Farewell and welcome back, Maria!
Carol Bocchetti retired on Mach 9, after over 24 years of service. Carol was a valuable member of our group, and we'll miss the expertise and commitment to service she brought to the HR team.
