Subject: HRMS/PM: Introducing New Application for Managing Human Resource and Appointment Processes


The University of Texas at Austin and the other DEFINE users are implementing a new software application to manage human resource and appointment processes. This system is called Human Resource Management System (HRMS) and was formerly known as Position Management (PM). 

As an employee who works with or oversees human resource or appointment functions, you will receive updates regarding the progress of the HRMS project as well as instructions to prepare for a smooth transition.

  • WHAT IS HRMS?

HRMS is a software application that will, after full completion, integrate employment-related procedures such as:

  • hiring and separation
  • performance evaluation
  • compensation, time, and labor management

In addition to supporting a variety of human resource functions, HRMS will offer users more information and functionality than currently available today through *DEFINE.

  • WHEN WILL THIS CHANGE HAPPEN?

The project will occur in phases, with the first phase going into effect on November 1, 2008.

  • WHAT WILL CHANGE?

When the first phase of the project launches in November, users will be able to access an improved user interface to carry out functions handled in *DEFINE.  Phase 1 will only include A&P and Classified positions; Students and Faculty will be addressed in phase 2. 

  • HOW WILL IT AFFECT ME?

Major changes in the initial launch of the software application going live in November will mainly affect employees who today work with appointments for A&P and Classified personnel.

However, the system will ultimately touch most aspects of human resources and appointment processes for all employees who have appointments.

  • WHO IS WORKING ON THE HRMS PROJECT?

Numerous employees from several campuses are working with staff from The University of Texas at Austin. Representatives at UT Arlington, UT Permian Basin, UT San Antonio, UT System, and UT Tyler are providing guidance and input to the project team, made up of staff from human resources, accounting, budget, payroll, and information technology.

  • HOW WILL I LEARN TO USE THE NEW SYSTEM?

Training opportunities will become available in October. Prior to that time, a number of users will be involved in testing and focus groups to ensure a user-friendly end-product.

  • WHERE CAN I FIND MORE INFORMATION?

You will receive monthly updates regarding HRMS from UTSA’s Communication Coordinator Ron Golenski or Cheryl Nunn.

Please read these as they will contain information on project progress, training, focus group and usability testing participation, and instructions to prepare for transition.
