Subject: Informational News About HRMS
Last month you received a general e-mail about UTSA's implementation of the Human Resource Management System (HRMS).
Here are more specifics on the benefits you will see with HRMS.
How will HRMS be more efficient?
HRMS will improve the user accessibility of employee-related data by organizing that information by positions.
Today, position-related data is tied strictly to the employee who currently holds that job. When an employee leaves, information needs to be re-created for the next incumbent. Currently, there is not any easy method to find out details such as a position’s previous incumbents or its funding and reclassification history. With HRMS, historical data will be directly tied to a position. Employee records will be linked to the positions they currently hold and will also contain information on any previous jobs they held with UTSA.
By organizing data through positions:
- Supervisory reporting relationships will be clearly identifiable.
- Organizational structures will be more visible.
- Work processes will be more efficient.
3 benefits of HRMS for Phase One
- HRMS will offer a single user interface to accomplish a variety of tasks, which today require users to access multiple applications.
- HRMS will be a more intuitive web-based application than the current mainframe system, requiring less training for new users. In fact throughout the month of June, the HRMS project team is conducting usability testing with campus representatives who will help ensure an inviting web environment for users.
- HRMS will provide one location to access employee and position information. Users will have the capability to easily view and possibly update information associated with a position, such as position descriptions and system authorizations.
