Employee Reclassification Process

 

Department prepares and forwards the Reclassification request package to HR through the appropriate Vice President, including:

  • Explanatory Memo - explaining the changes that have occurred in the position and the reasons why it is felt that reclassification is warranted.  Include proposed salary, effective date and source of funds to implement proposed changes in compensation.   This memo must have the appropriate VP signature before it comes to HR (this is an approval to conduct the job audit and certification of availability of funds, not approval of the requested title).

  • Position Description Requirements - Submit a Position Description form if the job title does not exist in our Classified Pay Plan or if the position is a newly created A&P title.

  • Organizational Chart - identifying the relative reporting relationships of all positions in the unit, including the position being audited, with names and titles of all incumbents.

    HR review includes consideration of the following factors:

      • duties
      • specific tasks
      • responsibilities
      • qualification requirements
      • relationship to other positions within the University

HR may:

      • approve reclassifying the position as requested
      • recommend that no change in title be made
      • recommend reclassification to a title other than what was requested

Audit classification decisions may be appealed in writing. Every effort will be made to find a solution that will accommodate the needs of the department while maintaining the integrity of the University’s classification plan.


Criminal Background Check - Exemptions
The following personnel actions are exempt from the requirements of subparts B. 2. and B. 3. from the HOP (http://www.utsa.edu/hop/chapter4/4-30.cfm).

  1. Position reclassifications that result in a title change with no change in current responsibilities;
  2. Career progression promotion occurring within the current department (e.g., associate professor to full professor or administrative assistant I to administrative assistant II); and
  3. Involuntary transfers or reclassifications.
