Here are the answers to some of the frequently asked questions about hosting your events at UTSA.
Reservations 101
- How do I make a room reservation?
Room reservations can be made by using the Make a Reservation page. Complete the online Room Reservation Form and submit. Reservations may only be made online. Once you are sent a confirmation, your event is booked and you are responsible for reviewing accuracy. At your event, you may be asked to show your reservation to UTSA personnel including staff, key control, Facilities or UTSA PD.
- How can I view a room before reserving?
Room information can be found by visiting the room diagrams page. This page shows room photos, capacities, room amenities and setup possibilities.

- When can I reserve classrooms or space in academic buildings?
Classrooms are assigned by the Registrar's Office, after the Census date (10 school days after the start of classes each semester). Classrooms are available Monday through Thursday after 7pm.
- Do our events have to begin and end between certain hours?
Events in the UC must take place during building operating hours University Center Hours. Please note holiday hours may vary.
- How far in advance should I send requests?
Response time for general reservations is 1-2 business days. During peak times, (first two months of a semester), please allow 3-5 business days. Major events and/or special requests may require a planning meeting with EMCS staff. These requests should be made at a minimum of one month in advance.
- How do I request a solicitation table reservation?
Table reservations are made online at www.utsa.edu/uctr/events/reservation.cfm. Tables must be picked up no earlier than 8:00am and returned no later than 4:45pm at the EMCS Office (UC 1.04.02). Tables may be used in and around the University Center, Sombrilla and the Central Plaza. Tables may be reserved for no more then (5) consecutive days and no more than (15) cumulative days per semester, at a maximum of (1) table per day.
- Are fees involved in event reservations?
Faculty, staff and student organizations that use any space outside of the University Center will be charged a setup fee by Facilities. If AV equipment is requested outside the University Center, Academic Technology will charge a fee. If your organization is charging admission to your event, or is beyond normal operating hours, the University Center may charge for setups and facility usage.
- How do I make changes, additions, or cancellations to a reservation?
All changes and additions or cancellations must be sent via email to UCEVENTS@utsa.edu with your reservations # in the subject line, no later than 3:45pm on the day prior to the event. For day-of hanges/additions, call the EMCS office (458-4155). Day-of requests are not guaranteed. Failure to notify EMCS of cancellation may result in a fee.
- How do I host a fundraiser or barbeque?
First, reserve a space in the Central Plaza using www.utsa.edu/uctr/events/reservation.cfm. Facilities requires a minimum of 14 days in advance, so plan ahead. Finally, purchase a food permit from the San Antonio Metro Health Department. A food permit is required for distributing or making a food product that is temperature sensitive. Food distribution is not allowed in the Sombrilla.
- Where is amplified music allowed?
Amplified music is only allowed on the West Mall.
- What do we need to host a film screening?
Any organization wanting to screen a film must pay for screening rights to screen a film and obtain written permission before reserving a space. It is against the law to screen a movie publicly without first obtaining rights from a distributor. This includes personally owned and commercially rented films.
