Employee Separation Checklist

Employee Guidelines

 

This checklist is to be used as a comprehensive guideline for separating from The University of Texas at San Antonio. It is intended to provide you with resources, links and points of contact to complete this process.

Pre-Separation

Once you submitted your letter of resignation, you will need to begin the separation process. Following are items that you need to address:

  1. Timesheets - Make sure all your timesheets are current in PeopleSoft.
  2. Update Employee Self Service. Be sure to update your contact information. We may need to contact you and/or send your W-2, so having that information available will be critical to that process.
  3. COBRA Insurance - Contact HR Benefits at Benefits@utsa.edu for information on continuing medical, dental and vision insurance through COBRA.
  4. What happens to your accrued leave
  5. Transferring to another institution of higher education or state agency - Please ensure that you forward that agency's state transfer form to HR-Records@utsa.edu
  6. Turn in to your department adminstrator:
    • UTSA ID Card / Keys
    • UTSA Property / Equipment
  7. Parking
    • To return hang tag and/or garage cards contact Campus Services / Parking at 210-458-7275
    • Pay any outstanding tickets or fines that you have
    • Retrieve any refunds due to you for pre-paid parking
  8. Campus Recreation - Contact Campus Recreation to cancel membership (if applicable)
