5.04 Off-Campus Speakers


POLICY STATEMENT


Registered Student Organizations who wish to present off-campus speakers should follow (1) the Rules and Regulations of The University of Texas System (UT System) Board of Regents, (2) Policy 9.37, Section 5 of The University of Texas at San Antonio (UTSA) Handbook of Operating Procedures (HOP), and (3) the procedures stated below.  Those rules, regulations, policies and procedures are referenced below with internet links to the text.  Links are also provided to forms that must be used by those within the scope of the policy.


RATIONALE


The policy outlines how registered student organizations invite off-campus speakers. 


SCOPE


The policy applies to registered student organizations, registered student organization advisors and registered student organization members/leaders at UTSA.

DEFINITIONS


Registered Student Organization
A separate, independent entity from UTSA whose membership is composed of UTSA students, or a combination of students, faculty, and staff; which has complied with the registration procedures to be officially registered (granted approval to operate on campus) by the University. 

Off-Campus Speaker
Any speaker invited to campus that is not a faculty, staff or student at UTSA.


RESPONSIBILITIES


Events Management and Conference Services

  • Accepts completed Request for Off-Campus Speaker form

Associate Dean of Students

  • Reviews the request and provides input to the requestor

Registered Student Organization

  • Completes the Request for Off-Campus Speaker Form. 


PROCEDURES


Any Registered Student Organization wishing to invite a speaker to UTSA must complete the Request for Off-Campus Speaker and submit to the Office of Events Management and Conference Services.

The Associate Dean of Students reviews the forms.
