Dear Business Affairs,
As we wrap up the spring semester and step into June, I want to thank everyone who made this year’s Business Affairs Employee Forum such a success. It was our largest Forum to date, and it was a pleasure to welcome our new UTS and Compliance colleagues to the division. I always value the opportunity to connect with so many of you—and this year’s turnout and energy made it especially memorable.
While the student traffic on campus may slow during the summer, there’s still meaningful work happening across Business Affairs. I encourage you to take advantage of the wellness resources available through the Employee Success Center, as well as the professional development offerings in MyTraining. These tools are here to support you—whether you're focusing on personal growth or simply recharging.
Thank you for your continued commitment and all that you do for our university. I wish you a restful and enjoyable summer ahead.

The New Timesheet Process Is Here!
A new, streamlined timesheet process is in effect starting today. This new process simplifies time reporting overall and reduces how often timesheets need to be submitted for many employees, making it easier and more efficient for everyone. To learn how these changes impact A&P, classified exempt and classified non-exempt employees, visit the Timesheet Process Improvement Website. As a reminder, any work completed prior to June 2 must be reported using the previous timesheet process. Helpful resources, including a step-by-step job aid, are available on the Payroll Training Website.
Integration Updates
UTSA and UT Health San Antonio continue the integration process, laying the groundwork for a unified, world-class academic and medical research institution. To stay up to date, visit the integration website, where new FAQs are added regularly. We encourage you to explore the site, review the FAQ section and share any questions via the feedback page or by emailing integration@utsa.edu.
Use Your Paid Time Off for Outstanding Performance
As a reminder, benefits-eligible staff were awarded up to 32 hours of paid time off for outstanding performance as part of this year’s compensation strategies. These hours must be used by Aug. 31, 2025. You are encouraged to use your hours to take a meaningful break from work to support a healthy and productive work/life balance. To schedule your time off, be sure to coordinate with your supervisor. For questions, contact your HR Business Partner.
Last Opportunity to Attend a Fiscal Year-End Workshop
Fiscal year-end is around the corner and the final refresher workshop will be held on June 3. For those that can't attend, Financial Affairs encourages you to view recordings of their recent year-end workshops on the Fiscal Year-End website. These workshops cover important information regarding deadlines, year-end closing steps, changes to business processes and updated Financial Guidelines. Be Prepared in Case of Heat Illness
As local temperatures heat up, it’s important to remember that heat-related illnesses can be very dangerous for people and pets. Stay cool and safe by limiting strenuous outdoor activities, drinking plenty of water and wearing loose-fitting, light clothing. To learn more about heat-related illnesses and how to prevent them, visit UTSA’s Heat Injury Prevention website.
Wellness Tip: Men's Health Month
June is Men’s Health Month, a time to raise awareness of common men's health issues and encourage healthy behaviors such as regular health screenings for early cancer detection, making sustainable and healthy lifestyle choices, and staying on top of routine checkups. It’s also a good reminder to check in with yourself and your loved ones to prioritize mental health—explore ways to manage stress, or encourage open conversations about mental wellness. By taking these proactive steps, men can reduce health risks and live longer, healthier lives.
Communications Tip: How to Write Dates and Times
UTSA uses AP Style to format most of its communications. Did you know that AP Style has specific guidelines for how to write dates and times? When you're setting up a save the date or sharing meeting information, here's an example of what to do:
The workshop, held from 9 a.m. to noon on Oct. 15, 2025, will be followed by a networking session from 3–4:30 p.m. at the Sombrilla.
Note that there are no zeroes in times, the month is abbreviated and time ranges are separated by a dash. To learn more, check out this helpful AP Style guide on how to correctly write dates and times.
