How do I record the weather closure on my timesheet?
Classified Monthly and Administrative & Professional (A&P) Employees
- Update the WRKS – Salaried Worked Time Reporting Code on your timesheet to reflect hours worked. If you did not work on Monday, Jan. 26, enter “0.”
- Add a row by selecting the + sign.
- Select the EMCL-Weather Closure Time Reporting Code and enter “8” for Monday, Jan. 26.
Classified Semi-Monthly Employees
- Update the WRKS – Salaried Worked Time Reporting Code on your timesheet to reflect hours worked. If you did not work on Monday, Jan. 26, enter “0.”
- Add a row by selecting the + sign.
- Select the EMCLH-Weather Closure Hourly Time Reporting Code and enter the hours according to your scheduled hours to work that day.
Am I eligible for the weather closure paid leave?
Employees who are appointed to work at least 20 hours per week for a period of four and a half (4.5) months or longer in a non-student position are eligible for paid leave.
What if I worked during the closure?
This is considered work time and must be recorded on your timesheet. Classified staff will receive compensatory time for hours worked. A&P staff are not eligible for compensatory time.
Are A&P employees required to submit a timesheet for the weather closure?
Yes. You must use EMCL-Weather Closure, which is considered leave (absence) and must be recorded.
Do I qualify for weather closure paid leave if I am a student employee?
Student employees are not eligible for weather closure pay. They may speak with their supervisors to determine whether they can take on additional projects in the upcoming weeks to make up hours, not to exceed more than 19 hours per week, and should still submit a timesheet for the hours worked during the week.
Do I qualify for weather closure paid leave If I am a classified non-benefits eligible employee?
Classified non-benefits eligible employees are not eligible for weather closure pay. They may speak with their supervisors to determine whether they can take on additional projects in the upcoming weeks to make up hours, not to exceed more than 19 hours per week, and should still submit a timesheet for the hours worked during the week.
What if I had approved leave during the closure?
Employees on approved leave (vacation, sick, etc.) during these periods shall not be granted weather closure leave in lieu of the pre-approved leave. (refer to HOP 9.15, IX, B.4).
A&P FAQs
Do A&P employees earn compensatory (comp) time?
A&P employees only earn comp time when they work on a holiday or skeleton crew day, in which case they are entitled to earn comp time at a 1:1 rate. Additionally, A&P employees can earn comp time by completing the Wellness Leave Incentive, and Payroll will manually add the time to the employee’s comp time balance.
Do A&P employees submit a timesheet if they work on a university holiday or skeleton crew day?
Yes. To ensure comp time is properly recorded in PeopleSoft, a timesheet must be submitted.
Do A&P employees submit a timesheet if they are reporting holiday or wellness comp time taken?
Yes. If an A&P employee is using holiday or wellness comp time, they will enter it using the State Comp Taken Salaried (STCTS) time reporting code, then submit the timesheet for supervisor approval so the time can be properly deducted from their comp time balance.
Why do A&P employees need to submit a timesheet when they take time off using holiday or wellness comp time versus submitting an absence request?
Because the STCTS code can only be used on and processed through a timesheet, submitting one is required when using holiday or wellness comp time. Other types of absences are not processed through timesheets.
Classified Exempt FAQs
Does a classified exempt employee need to submit a timesheet if they’ve submitted an absence request for a scheduled workday?
Yes. Any time classified exempt employees have an absence request during a workweek, they must submit a timesheet.
Do classified exempt employees need to submit a timesheet if they are reporting state compensatory time taken?
Yes. The employee will use the State Comp Taken Salaried (STCTS) time reporting code to report the time and submit their timesheet for supervisor approval so the hours are properly deducted from their comp time balance.
Do classified exempt employees need to submit a timesheet if they worked more than their scheduled hours?
Yes. If an employee works outside their regular schedule, they must submit a timesheet.
Can classified exempt employees make up hours the following week if they worked less than their scheduled hours for a work week?
No. They must submit a timesheet showing the reduced hours and either submit an absence request or use comp time to cover the difference. If they do not have enough accrued leave or comp time, they are still required to report the absence, and their paycheck will be reduced to reflect the missed hours.
Do classified exempt employees need to submit a timesheet if they worked days that differ from their regular work schedule?
Yes. Any time an employee deviates from their regular schedule, they must submit a timesheet to report the actual days and hours worked.
Classified Non-Exempt FAQs
Will classified non-exempt employees still earn overtime since they no longer enter “In” and “Out” times?
Yes. The Fair Labor Standards Act (FLSA) non-exempt status has not changed, so employees are still eligible to earn overtime even though the format of the timesheet has changed.
Do classified non-exempt employees need to submit a timesheet if they work their regular work schedule?
Yes. They must report their total work hours weekly by submitting a timesheet for review and approval by their supervisor.
If a classified non-exempt employee works fewer hours than their regular schedule this week, can they make up the time next week?
No. They must submit a timesheet reflecting the reduced hours and either submit an absence request or use comp time to cover the difference. If they do not have enough accrued leave or comp time, they are still required to report the absence, and their paycheck will be reduced to reflect the missed hours.
How do classified non-exempt employees record fractional hours worked?
Fractional hours worked will be rounded using the chart below.
