Promotion & Transfer Policy

"No Transfer" Policy

A benefits-eligible staff member who is currently serving a six month probationary period is not eligible to apply for UTSA benefits-eligible positions until they have completed six months in their current position.

A benefits-eligible, non-probationary staff member who has been in their current position for less than six months is not eligible to apply for UTSA benefits-eligible positions until they have completed six months in their current position.

A transfer or promotion within the same department is permissible if the transfer does not result in a change in the immediate supervisor and the employee meets the required qualifications for the position.

Reclassified position dates are not included in the calculation of the six months for this policy.

Waiver of the “No Transfer” Policy

An employee may request a waiver of the "no transfer" policy. Before applying for a UTSA benefits-eligible position, a waiver must be approved by the Executive Director of Human Resources Business Partners.

  1. Waiver requests must be submitted in writing (email is acceptable) to the employee’s immediate supervisor.
  2. If approved, the employee’s immediate supervisor will forward the employee’s request and supervisor’s approval (email is acceptable) to the executive director.
  3. The executive director will email the decision to the employee, supervisor and Talent Acquisition. The decision is final.

It is not required to submit a separate approved waiver for each application.

Probationary employees: An approved waiver of the "no transfer" policy does not constitute a waiver of the probationary period and does not ‘restart' the probationary period. If a probationary employee receives and accepts an offer of employment, he or she will complete the remainder of their probationary period in the new department or position.
