How to Request Card Access and Keys

As an authorized requestor, you can submit a Card/Key Access Request for mechanical keys or electronic access for employees in your department. Each department head is responsible for reporting any changes to their list of authorized requestors to Security Services (reference HOP 8.04 for policy updates).

Mechanical key requests must list each door number the recipient will access. Security Services will send the authorized requestor an automated confirmation of receipt and notify the requestor via automated email once the keys are ready for pickup.

Key Pickup

An employee has 45 business days to pick up the key. Keys ready for pickup will be held at the following locations:

  • Main Campus: Security Services office, Bosque Building, room 1.200.
  • Downtown Campus: UTSA Police Department (UTSAPD) office, Frio Street Building, room 1.528.

Only the employee to whom a key is issued is permitted to pick up the key. If you are physically unable to pick up your key, contact Security Services to make other arrangements.

Any keys not picked up after 45 days will be destroyed.

Requesting Lost Key Replacements

If you lose a key, please report the loss immediately to Security Services and your department requestor. Lost key replacement requests must have a UTSAPD report number, which can be obtained by calling 210-458-4242 for a lost key report. 

Rekeying of Space

A department can request that an office be rekeyed by visiting the Card/Key Access Request site and selecting the Mechanical Key Request tab.

The term “rekey” refers to the re-combination or changing out of cores and issuance of new keys. This is primarily done for physical security control in the case of new space allocation or department move, a lost key affecting security of an area, or remodeling/construction.

Doors with Electronic Access

Security Services will not issue keys for these types of doors. Do not include door numbers with card readers or other electronic access on your mechanical key request. Instead, use the form to request electronic access.

Separation of Personnel/Keys No Longer Needed

If an employee leaves the department through separation or transfer, any UTSA keys in their possession must be returned to the department’s administrative staff, who in turn, must return them to Security Services right away.

FAQ

Can anyone request card access?

No. Only the department’s authorized requestor can request card access. Security Services will only process swipe card access requested by the authorized requestors through the Card/Key Access Request site.

What do I do if I lose my card?

Contact Security Services immediately to deactivate the card. A new card may need to be assigned by Campus Services.

Can I request card access for myself?

No. If you are an authorized requestor for your department, you cannot request access for yourself; however, another authorized requestor from your department can request access for you.

What do I do if the door I am requesting access for is not listed in the Card/Key Access Request site?

Email Security Services. We will contact University Technology Services to get the new door number added.

Why was my card access request denied?

Requests may be denied for several reasons: nonexistent room number, incorrect Banner ID number, and/or user not found in the system. If your request is denied, you will receive an email with a reason for the denial.

Can I request a key for a door with card access?

No. Keys are not issued to any doors with electronic card readers, keypads or biometric access control systems for security reasons.

Do I call Security Services to grant access to Housing and Residence Life?

No. Housing and Residence Life handles their own card access requests.

How can I request my office suite to be locked temporarily due to a special event or training if it has card access and is on a lock/unlock schedule?

The manual locking of doors can be processed promptly. Call Security Services at 210-458-6855 to manually lock your office before leaving. Call us back to ensure the door is returned to its time schedule. If you need this assistance outside of normal business hours, you may call police dispatch at 210-458-4242.

I was granted access to a door that requires a PIN or biometric reader to access the area. How do I obtain the PIN or get my fingerprint entered in DSX?

Stop by Security Services (Bosque Building, room 1.200) during working hours, Monday-Friday, 8 a.m.–5 p.m. to obtain a PIN or get fingerprinted for biometric reader access.

Is it possible to request a card reader report of everyone who currently has card access to a door in my department?

Yes. You can request a history or access report through the Card/Key Access Request site. Once in the system, go to the door reports request tab to make your request. A history report allows you to see everyone who swiped at the door, as well as any alarms for that door during a designated time frame. An access report provides you with a list of everyone who currently has access to your door.

How do I report door access issues after business hours or when campus is closed?

Call UTSAPD dispatch at 210-458-4242.

If I am employed at the Downtown Campus and have door access issues, who do I contact?

Call Security Services at 210-458-6855. We provide access support to all UTSA campuses.

How do I request a key?

Key requests must be made through the mechanical key request tab on the Card/Key Access Request site. We do not accept requests made via paper forms, phone or email.

Can anyone request keys?

No. Only the department’s administrative official/authorized requestor can request keys.

Please note, if you are an authorized requestor for your department, you cannot request keys for yourself. Another authorized requestor from your department must request keys for you.

Who is an authorized requestor?

Division, college or department leaders may authorize a delegate with administrative responsibilities and oversight authority. Leaders include a director, assistant director, administrative services officers and senior administrative associate.

How can I become an authorized requestor?

A current authorized requestor from your department can fill out and submit the Authorized Requestor Form to request that you be added as an authorized requestor.

Can a department request master keys?

Requests for master keys are carefully reviewed. Security Services will work with departments to assess their needs. We limit who can receive master keys for security reasons.

Can I pick up my supervisor's key?

No. Security Services will not release keys to individuals other than the employee to whom the keys are issued to. 

Can I request a key to match another person's key?

No. Requesting a match to someone else’s key is not always sufficient information. When requesting a key, you must list the door numbers needed on the Card/Key Access Request.
