Late Adoption Renewal

The Rowdy Campus Store is expanding its late adoption renewal program for the fall 2024 and spring 2025 semesters: any adoptions that have not been submitted by the deadline will be automatically updated to reflect the prior term’s adoptions. This protocol only affects late adoptions for courses taught by the same instructor as the previous year. Our aim is to enhance course material affordability and availability for students.

The late adoption renewal date for the fall 2024 semester is Friday, June 28, 2024.

Why are we making this change?

While we make every effort to source materials regardless of when adoptions are submitted, we have found that late adoptions negatively affect students in several ways:

  1. Cost of Materials
    Due to limited used book inventory in the marketplace, late adoptions must be sourced from higher-priced new inventory.
  2. Availability of Materials
    Due to sourcing lead times, shipping constraints and acquiring digital rights to campus-specific content, late adoptions can be unavailable for students to purchase on the first day of class.
  3. Informed Registration
    Late adoptions are often unknown at the point of registration, impacting a student’s ability to make informed decisions and putting UTSA's HEOA compliance at risk.

How did we arrive at this decision?

Over one-third of Follett campus partners have implemented the late adoption renewal program, benefiting both students and busy instructors. An assessment of adoption data across all Follett campuses found that only 5% of adoptions changed from the previous semester when taught by the same instructor and, in almost every case, those which did change were submitted on time.

What does this new policy mean for UTSA?

Eight weeks prior to the first day of each semester, we will renew prior semester adoptions for any adoptions that have yet to be submitted. Renewals will only occur for courses that have a historical adoption for the same department, course, section and faculty.

How does Late Adoption Renewal work to help UTSA students and faculty?

Late adoptions will only be renewed when all of the following conditions are met:

  •   The adoption deadline has passed.
  •   The same instructor has taught the same course in the same department in a previous term.
  •   The instructor used course materials (including OER) in the past according to our systems.
  •   The instructor has given no indication to our store that they have changed or dropped their adoption.

This will ensure materials are available from the first day of class, benefiting students and reducing the workload for faculty. This will not impact any faculty that submit materials by the deadline and, as always, we will honor adoption changes from faculty at any time.
